FYI Important Information

We need to know ahead of time if there will be any outside performing, so the performers can prepare accordingly. All performances longer than an hour will include break(s) for the performers. Clients must provide free parking or parking reimbursement for all performers. Characters are available in addition to or separately from our carolers and musicians.

Cancellation Policy

50% of this event is non-refundable. If the client cancels at least 14 days before the event, 50% of the total will be refunded. Once within the 14-day window, we can discuss rescheduling the event based on our availability. As for inclement weather, as long as the interstates are clear, we are prepared to perform for an indoor event. If a major weather event forces the interstates’ closures, we would work with you to reschedule at no additional cost, based on our availability. For events that are dependent on weather, it can be useful to specify a rain date in the contract. Otherwise, it would be important to have a contingency/indoor alternative. A cancellation because of weather would not have the deposit refunded.

Do they arrive in costume, or do they change on-site?

Most of our performers arrive in costume, ready to go. Obviously, masked characters like the Grinch and inflatable characters like Olaf cannot arrive in costume and will need a place to change on site.

Yes. 45 minutes is the lowest amount of time we will book. Performers can entertain for less than that amount of time if needed for your event, but the price will be the same as our 45-minute rate.

How far will you guys travel?

For the right price, we’ll go anywhere! Events within a 50-mile radius of any of our 20 regional city headquarters do not incur any travel fees. Events outside of that radius will incur travel fees, generally at a rate of $.75 per mile for the group.

Are the performances continuous or do they take breaks?

All performances longer than an hour will include break(s) for the performers. Our general rule is 50 minutes on, 10 minutes off every hour; however, we’re happy to work with your event planner to break when it makes most sense for your program or crowd flow. Events longer than 4 hours must include a 30-minute meal break for performers.

Can the performers entertain outdoors?

We need to know ahead of time if there will be any outside performing, so the performers can layer under their costumes accordingly. For the health and safety of our performers, and to retain the integrity of our gorgeous costumes, we never work in active precipitation without cover, and must have special permission from the performers to work in temperatures below 35F.

How are the performers dressed?

Carolers perform all events in full Victorian costume unless otherwise requested. We also offer holiday sweaters and cocktail attire as costume options.
